1. Introduction
Welcome to ZunderFlow ("we," "us," or "our"). ZunderFlow is a unified commerce platform that connects merchants, customers, and delivery riders through three dedicated applications: the Partner App (Merchant Platform), the Client App (Customer App / Website), and the Rider App (Delivery Personnel App).
This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you access or use any of our applications, websites, or services. Please read this policy carefully. By using ZunderFlow, you consent to the practices described herein.
2. Information We Collect
We collect information across all three apps to deliver and improve our services:
Personal Information
- Merchant / Partner Data: Business name, owner/operator name, email address, phone number, business address, GST/tax identification numbers, bank or payment details, branding assets (logos, colors, themes), and role-based access credentials for staff and sales agents.
- Customer Data: Name, email address, phone number, delivery address, order history, product preferences, and group membership details as assigned by merchants.
- Rider Data: Name, email address, phone number, government-issued ID for verification, vehicle details, real-time GPS location during active deliveries, and delivery history.
Order & Transaction Data
- Product details, variants selected, quantities, pricing (including dynamic and group-based pricing), applied discounts, tax calculations (GST at merchant, category, or product level), payment status, and order lifecycle events.
Inventory & Product Data
- Product catalogues, categories, variant-level pricing, stock levels, out-of-stock status, product descriptions (including AI-generated content), and product visibility settings.
Communication Data
- Messages exchanged through broadcast notifications, back-in-stock alerts, WhatsApp/email order channels, customer support tickets, and issue reports raised from the Client App.
Technical & Usage Data
- Device type, operating system, browser type, IP address, access timestamps, pages viewed, feature interactions, crash logs, and analytics data used for performance monitoring and improvement.
Integration Data
- Data synced with Zoho Inventory including items, customers, price lists, and sales orders. This synchronization enables zero-manual-setup flows for existing Zoho merchants.
3. How We Use Your Information
We use the collected information to:
- Operate the Platform: Facilitate merchant onboarding, order management, inventory tracking, delivery assignment, and customer engagement across all three apps.
- Process Orders: Enable order creation (manual and automated via WhatsApp/email), order editing before fulfillment, rider assignment, and end-to-end lifecycle tracking.
- Dynamic Pricing & Billing: Apply customer-group-based pricing, custom discounts, and flexible GST configurations at merchant, category, or product level.
- AI-Powered Features: Provide AI chatbot insights for business performance analysis, generate product descriptions, optimize search visibility through AI-SEO with JSON-LD structured data, and automate content generation.
- Communication: Send broadcast notifications, back-in-stock alerts, order status updates, and delivery notifications in real time.
- Delivery Services: Enable GPS-based live location tracking during active deliveries, route navigation, and proof-of-delivery verification.
- Analytics & Reporting: Generate sales performance reports, order and customer analytics, inventory performance insights, and export-ready reports for merchants.
- Integration Services: Sync data with Zoho Inventory and other third-party services as configured by the merchant.
- Security & Compliance: Verify identities, enforce role-based access controls, detect fraud, and comply with applicable laws and regulations.
4. Data Sharing & Disclosure
We do not sell your personal data. We may share information in the following circumstances:
- Between Platform Users: Merchants see customer order data and rider delivery status. Customers see order status and rider location during delivery. Riders see pickup/delivery addresses relevant to their assignments.
- Third-Party Integrations: Data shared with Zoho Inventory (items, customers, price lists, sales orders) and other platforms as configured by the merchant. Each integration is governed by the respective provider's privacy policies.
- Service Providers: Trusted third-party service providers who assist with hosting, analytics, communication (push notifications, SMS, email), and payment processing, under strict confidentiality agreements.
- Legal Requirements: When required by law, regulation, legal process, or governmental request, or to protect the rights, safety, or property of ZunderFlow, our users, or the public.
- Business Transfers: In connection with a merger, acquisition, or sale of assets, your data may be transferred as part of the transaction with continued protection under this policy.
5. Data Security
We implement industry-standard security measures to protect your data, including:
- Encryption: Data is encrypted in transit (TLS/SSL) and at rest using AES-256 encryption standards.
- Access Controls: Role-based access control (RBAC) ensures only authorized personnel can access sensitive data. Merchants manage staff and sales agent permissions through their dashboard.
- Infrastructure Security: Our platform is hosted on secure, enterprise-grade cloud infrastructure with continuous monitoring, automated backups, and disaster recovery protocols.
- Authentication: Secure login mechanisms for all user types with merchant-controlled restricted access for their customers.
- Regular Audits: Periodic security assessments and vulnerability testing to identify and address potential threats.
While we strive to protect your personal information, no electronic transmission or storage method is 100% secure. We encourage you to use strong passwords and keep your login credentials confidential.
6. Merchant Data Controls
Merchants using the Partner App have significant control over data within their ecosystem:
- Customer Access Control: Merchants can whitelist, approve, freeze, or block customers. Only merchant-added customers can access the Client App (restricted login).
- Product Visibility: Merchants control which products are active or inactive and whether product structured data is published for AI-SEO.
- Pricing & Groups: Merchants manage multiple price lists, customer-group assignments, and custom discount configurations.
- Branding & Customization: Client app templates, colors, themes, and landing page content are controlled by the merchant.
- Integration Management: Merchants configure and manage Zoho Inventory sync and automated order collection channels.
7. Location Data
Location data is collected and used specifically for delivery operations:
- Rider Location: Real-time GPS tracking is active only during active deliveries. This data is shared with the merchant and the relevant customer to provide live delivery tracking.
- Route Navigation: Location data enables riders to navigate to pickup and delivery locations efficiently.
- Delivery Verification: Location data at the time of delivery helps verify successful completion alongside proof-of-delivery images.
Location tracking is automatically disabled when riders are not on active delivery assignments.
8. AI & Automated Processing
ZunderFlow uses AI and automation in the following ways:
- AI Chatbot: Analyzes business data to provide merchants with insights on sales performance, order patterns, and operational recommendations. This processing is based on aggregated merchant data.
- Product Descriptions: AI generates product descriptions to assist merchants. All AI-generated content is editable by the merchant before publication.
- AI-SEO: Automatically generates JSON-LD structured data (Organization, Business, Product) from merchant data for search optimization. Merchants can enable or disable product-level structured data.
- Automated Order Collection: Orders placed via WhatsApp, email, and other external channels are automatically processed and unified within ZunderFlow.
10. Data Retention
We retain your data for as long as necessary to:
- Provide our services and maintain your account.
- Comply with legal, accounting, and regulatory obligations.
- Resolve disputes, enforce agreements, and protect our legitimate business interests.
When data is no longer required, it is securely deleted or anonymized. Merchants can request data export or deletion for their customer records, subject to applicable legal retention requirements.
